Completing a Campus Solutions Access Request Form
This article will cover how to complete a Campus Solutions Access Request Form in order to request specialized Student Administration access.
All pop up blockers must be disabled prior to accessing the form. View instructions on Turning the Pop-Up Blocker On or Off.
1. Select IT Access Request Form. Then, select Campus Solutions Access Request Form.
1.1. Log into the campus portal using Internet Explorer or Safari. Go to My Workplace to access the Access Request Forms.
If this is the first time you are accessing Access Request Forms on this device, check your Compatibility View settings in Internet Explorer to make sure the form loads properly for you. To learn how to change your settings, view Changing Compatibility View in Internet Explorer.

A. Click the IT Access Request Form hyperlink in the My Workplace navigation panel.
B. Click the Campus Solutions Access Request Form hyperlink.
2. The form will open in a new window. Enter the Employee ID (CWID).
Fields in green should be completed first. This will autopopulate other fields on the form with PeopleSoft data.

3. Tab to the next field or click another box. Additional fields on the page will autopopulate.

The rest of the employee information will automatically fill out based on PeopleSoft records. If the autopopulated data does not reflect the employee's current appointment, you may need to wait to submit the ARF to allow for PeopleSoft records to update.
4. Identify the action request:

Existing User | A user whose needs modifications to their Campus Solutions access |
Change Department | A user who has moved from one department to another and needs modifications to their Campus Solutions access |
6. The form will take you to the appropriate tab to be filled out

Which tab did the form take you to after clicking Go to the Security Page?
The form will select the appropriate tab based on the employee's department in PeopleSoft. Only one security tab can be filled out, so all requested access should be included on that tab.
8. In the Departments section, select what office the employee belongs to from the checklist. If it is not listed, check Other and type in the appropriate department name.

9. In the Security Request section select the “add” or "remove" box next to each additional role needed in each sub-section as applicable.
If you select "Other," be sure to do so in the section that is related to the access you are requesting so the appropriate business analyst is able to review/approve the request. For example, if you put "View Financial Aid data" in the Other box under Admissions Security, the Financial Aid business analyst will be unable to view/approve your request and the access will not be granted.

- Select any Curriculum Security roles that are needed. These roles relate to the campus class schedule and course catalog, not to an individual student's class schedule.
- Select any Records Security roles that are needed. While these roles relate to student records, they do not include viewing a student's biodemographic data.
- Select any Admissions Security roles that are needed. Most of these roles relate to viewing/verifying information for an individual student, including viewing their Student Center data and biodemographic data.
- Select any My Queries that are needed. These relate to specific PeopleSoft queries that a user needs to run, not to OBIEE/Data Warehouse reports/queries.
- Select any Financial Aid Security roles that are needed. Most of these roles relate to viewing financial aid information for an individual student.
- Select any Student Financials Security roles that are needed. These roles relate to viewing an individual student's financial information, so note that a business justification is required for any access.
- Select any Data Warehouse roles that are needed. These relate to Campus Solutions OBIEE/Data Warehouse reports that the user needs to access.
- Enter the Business Justification for the requested access. If you checked a box that has an asterisk, this is required. Otherwise, you can use this field to elaborate on the access/specific roles needed or the requirements of the user's position (e.g., the user is a department advisor) that may assist a business analyst in understanding why the access is needed.
Roles with an asterisk require a business justification which must be entered into the “Business Justification” box.
11. Click the Launch link to submit the form.

Click on Launch to submit. Comments entered in the Comment box will appear under the Employee Info tab upon launching the form.

Each tab has different roles and security that can be requested, but the steps are similar for each tab.
8. Identify the appropriate role from the list provided.
The role specified determines most security needs for the employee. If additional access needs to be added or removed, use the Security Request portion of the form.

8.1 If an additional role is needed, proceed to the Security Request section and select the desired role from the checklist. If a role is not listed, it may be typed into the Other field.
Roles with an asterisk require a business justification which must be entered into the “Business Justification” box.

10. Click the Launch link to submit the form.

Click on Launch to submit. Comments entered in the Comment box will appear under the Employee Info tab upon launching the form.
