Issuing Class Permissions

Staff and faculty with the appropriate access can assign student-specific permissions which can override career, class capacity, and/or prerequisite requirements to enable a student to enroll in a class.

This guide will go over the process of entering class permissions in CMS.

Permissions are section-specific. A student will only be able to enroll in the section that the permit was issued for and will not be able to add other sections of the class.

Permits do not waive Service Indicators (Holds), time conflicts, or term unit limits. Issuing permissions does not automatically enroll a student in a class. The student must go through the process of adding a class themselves before the permission expires.

1. Log in to the campus portal and access Student Administration (Campus Solutions) in Titan Online.

2. Click on the compass icon to open the NavBar. Then, click Menu for more options. From the Menu, select Records and Enrollment.

C. Select Records and Enrollment.

3. Navigate to Term Processing > Class Permissions > Class Permissions.

If you issue permits often, consider adding the Class Permissions page as a tile on your homepage for easy access.

  1. Select Term Processing from the Records and Enrollment menu.
  2. Select Class Permissions from the Term Processing menu.
  3. Select Class Permissions from the Class Permissions menu.

The search return will only show classes that you have access to issue permissions for.

It is recommended to at least include the term to limit your search results.

A. Type in the semester code or click the magnifying glass to use the Look Up menu to enter term (e.g. 2227).
B. Type in the subject code or click the magnifying glass to use the Look Up menu to enter the subject area (e.g.  EGCE).
C. Type in the catalog number (e.g. 302).
D. Click the Search button.

4.1. If you did not include a subject area and/or catalog number, you will see multiple courses in the search return. Choose the appropriate course from the list.

5. Choose the tab for the permission you want to grant (add or drop). Then, use the arrow buttons to navigate to the appropriate class section. If the defaults need to be changed, check/uncheck boxes to indicate what the permits will be able to override.

A. Use the Permission to Add tab to issue permits that will allow students to enroll in a class. Use the Permission to Drop tab to issue permits that will allow students to withdraw from a class.
B. Use the arrow buttons to navigate between different sections of a class.
C. Check or uncheck the Permission Valid For boxes to specify what default conditions the permit will be able to override.

Field Description

Closed Class

Select to allow students to enroll in a class that is full. This type of permission also allows students to enroll in a closed combined section, or in a class where all available seats are subject to reserve capacity requirements that they might not meet.
Requisites Not Met
Select to allow students to enroll in a class for which they do not meet the prerequisites.
Consent Required
Select to allow students to enroll in a class that requires instructor or department consent to add, as indicated by the Add Consent field on the Enrollment Cntrl tab in Maintain Schedule of Classes.
Career Restriction
Select to allow students to enroll in a class that is outside their career.
Permission Time Period
Select to allow students to enroll in a class during the enroll with permission time period. This time period is determined by a user's enrollment security access ID and by the time period end dates that are pre-defined in the Session Time Period table for each term.

When the Closed Class box is selected, it is recommended to adjust the maximum enrollment capacity of the section to account for the number of permissions issued in order to prevent overenrolling the class.

6. Enter the student's CWID in the ID field. Then, hit the Enter or Tab key to populate their name. Click Save.

A. Type the student's CWID into the ID field. If the CWID is unknown, you can click the magnifying glass to conduct a search by first and last name. The search menu may take a few minutes to load.
B. Hit Enter or Tab to populate the student's name to verify that the correct student information has been entered.
C. Click the Save button.

6.1. To add permissions for additional students in the same section, click the plus (+) button. To delete permissions for a student, use the minus (-). Then, click Save after making the entries.

When a permission has already been used, any update or delete is prohibited.

6.2. If needed, use the Permission tab to individually change permit conditions for a student. Check or uncheck the appropriate box/es. Click Save after making the necessary edits.

7. Inform the student that a permit has been issued for them. Let them know the section details and deadline to add the class.

If a student is on the waitlist of the class, they will need to drop the class, then re-add it.
