Search Committee Review

Search Committee members will review applicants four times throughout the search:

  1. Screening of Applicants
  2. Evaluation of Candidates
  3. Evaluation of Semi-Finalists
  4. Evaluation of Finalists
  • Applicants refer to the people who have applied to the job.
  • Candidates refer to the Applicants who have met the minimum requirements for the job. 
  • Semi-Finalists refer to the Candidates that the DSC has evaluated and wants to pre-interview. 
  • Finalists refer to the Semi-Finalists that the DSC has evaluated and wants to interview on campus. 

Steps in the Process

For each of the four stages of the review, the process will be the same:

  1. Wait for the automated message from CHRS Recruiting
  2. Access the job requiring panel review
  3. Review the application review
  4. Review the application materials
  5. Evaluate each Applicant/Candidate
  6. Move Applicant/Candidate to next status (DSC Chair only)

Accessing CHRS Dashboard and Jobs Requiring Panel Review

  1. On your dashboard, find the Search committee review widget
  2. Click Jobs requiring panel review
    1. This will allow you to view Applicants, view committee members' ratings and comments, or access the posted job
  1. Identify the row that contains the position you are meant to review
    1. Use the requisition number to ensure you are reviewing the correct position
  2. Click View applicants on the line of the applicable job
  3. The View applicants page will open 

If you are a DSC Chair, you will have links to view responses. Search committee members cannot view responses.

Reviewing Application Materials

You can quickly open an applicant's resume/CV or view their answers to the job application questions by using two small icons on the View applicant's page. 

  1. The View resume/CV and View answers icons are next to the Applicant's name in the applicant list
    1. Click the applicable icon to view resume/CV or answers
    2. The View answers icon also gives you access to all other Applicant documents, such as the candidate statement on commitment to inclusive excellence

Bulk Compile and Send Documentation (DSC Chair Only)

You can use the Bulk compile and send function to gather multiple applicants' documents together and create a PDF file for you to review or to send to another user. 

  1. On the View applicants page, select the Applicants that you want to compile by clicking the check box to the left of the Applicant's name, or check the Select all box
  2. Click Bulk compile and send
  1. On the document selection page, select the documents you want to include in the PDF
  2. Click Create PDF at the bottom of the page
    1. CHRS Recruiting will generate a PDF file
  1. When the PDF is ready, you can either download the file or send the file to another user in an email
  2. Click Okay

Evaluating Applicants by Using Minimum Requirements

  1. On your dashboard, find the Search committee review widget and click on Jobs requiring panel review

  1. Click View applicants on the line of the applicable job

  1. The View applicants page will open
  2. Check the box next to the applicant you are rating
  1. Using the minimum qualifications as given in the Position Announcement, choose the appropriate Selection Criteria Outcome:
    1. 0 - Meets none of the requirements
    2. 1 - Meets some of the requirements
    3. 2 - Meets all requirements
  2. Do not use any of the other outcome numbers at this time

  1. If the Applicant DOES NOT meet the minimum requirements, simply state the missing requirements in the Summary box
  2. If the Applicant DOES meet the minimum requirements, leave the Summary box blank
  3. Click Submit when you are finished evaluating the candidate

View Responses (DSC Chair Only)

  1. After all search committee members have saved their responses to the Applicant card:
    1. Return to the list of Jobs requiring panel review
    2. Click View responses to view the responses for applicable job
  1. Choose one of the Applicants from the panel on the left
  2. All responses for the Applicant will show up on the right
  3. These responses will determine which Applicants will move forward as Candidates

 

Moving Applicants to Unsuccessful (DSC Chair Only)

  1. Based on the feedback from the DSC, the DSC Chair will now move the Applicants who DID NOT meet the minimum requirements
  2. Go to the View applicants page
  3. Click on the check box next to the Applicants who did not meet the position's minimum requirements
  4. Click on Bulk move
  1. You will move the Applicants from Dean Applicant Pool Approved/Applicant Review to DSC Applicant Unsuccessful - COMPLETE
  1. This will send an email to the unsuccessful Applicants telling them that they did not meet the minimum requirements

Moving Applicants Forward as Candidates (DSC Chair Only)

  1. Based on the screening of Applicants, the DSC Chair will now move forward the Candidates who DID meet minimum requirements
  2. You will move the Applicant from Dean Applicant Pool Approved/Applicant Review to DSC Applicant Successful/Candidate Review - HOLD
    1. This will send an email to the DSC members asking them to review the Candidates

Evaluating Candidates by Using Evaluation Criteria

  1. The next step is to review Candidates using the DSC Evaluation Criteria to determine the recommended Semi-Finalists
  2. Repeat the steps from above from the section on Evaluating Applicants
  3. The DSC should decide on a consistent process for using the Selection Criteria Outcome numbers
  4. The DSC should use the Summary box to support the number chosen for the Selection Criteria Outcome
  5. The DSC evaluation criteria should have been uploaded with the requisition, so you can refer to those in the Summary box
