Introduction

Status changes can trigger notification emails to both internal CHRS users and job applicants. For each change, you can choose whether to send an email, customize the recipients, and edit the message content. Most status changes come with default email templates that can be used as-is or modified.

Internal User Communications

  1. Certain status changes will have specific users checked as the default users to be notified for that status change
  2. Modify this as needed by checking and un-checking boxes and adding additional users associated with the job
  3. To add any additional users, use the magnifying glass
  4. Make sure that everyone you want to send the message to has been included
  5. Please DO NOT un-check HR Representative if it has been checked by default
  1. Certain status changes will also have a default email subject line and message associated with that status change
  2. You can modify the subject and email message as needed
  3. If desired, add attachments
  4. If desired, delay email send time
  5. If desired, add notes for yourself and other administrators about the Applicant(s)
  6. If a status change requires a reason, a list of reasons is provided for you to choose from. Select the most appropriate from the list

Applicant Communications

  1. Certain status changes will allow you to email Applicants
  2. If the default is toggled to No, the status change is internal and communication to the Applicants is not needed
  3. If the default message is toggled to Yes and a default email subject and messages appear, it is typical to send a notification to the Applicant at this time
  4. You can modify the subject and email message as needed
  5. If desired, add attachments
  6. If desired, delay email send time
  7. If desired, add notes for yourself and other administrators about the applicant(s)
  8. If a status change requires a reason, a list of reasons is provided for you to choose from. Select the most appropriate from this list

Special Applicant Statuses: HOLD and COMPLETE

  1. A status with COMPLETE at the end indicates that we are done with the Applicant. The applicant will receive an email message which will vary depending on how far along they were in the process
  1. Some Applicants may not advance in the process but are also not changes to a COMPLETE status. The DSC may reconsider these Applicants. These Applicants are left with a status that has HOLD at the end of the status name.
  1. At the end of the process, the DSC Chair must move any Applicants in a HOLD status to one of the COMPLETE statuses at the bottom of the status list based on which stage they were placed in a HOLD status.
