How do Faculty View/Acknowledge Their Appointment Notice?

This article covers how faculty, teaching associates, graduate students, and instructional student assistants can view, acknowledge, and download/print a copy of their appointment notification. They can also reprint old appointment notifications that are available in CHRS.

1. You will receive an email in your campus employee email account when an appointment has been approved for you.

2. Log in to the campus portal and click on Employee Homepage in the Titan Online widget.

3. Click on CSU TAE Appt Notice on the Employee Self Service homepage.

4. You will see your current appointment notices.

You will only see a total of five appointment notices. If you do not acknowledge an appointment notice, eventually it will drop off this view. You can use the Reprint Old Notice process to view/print/download an appointment notice that you do not see on this screen.

What do you want to do?

Review and acknowledge an appointment notice

1. Click Review Appt Notice.

2. Your appointment notice will open as a PDF in a new window/tab. Use the built-in Adobe Reader options to either print or download the PDF.

If you want to print or download your appointment notice, you should do that BEFORE you acknowledge it because as soon as you acknowledge an appointment notice, it will drop off this screen. Acknowledged appointment notices can still be accessed in the Reprint Old Notice tab.

Depending on your computer and web browser settings, your appointment notice PDF may automatically download to your Downloads folder. If the PDF doesn't automatically open in your web browser, check your Downloads folder.

  1. Click on the printer button to print your appointment notice PDF.
  2. Click on the file download button to download your appointment notice PDF to your computer.

3. Close the tab or window with the appointment notice PDF when you are finished. You can click on the previous tab or window to get back to the CSU TAE Appointment Notice screen.

  2. Click on the CSU TAE Appointment Notice tab or window to return to the appointment notice screen.

4. Place a checkmark in the Acknowledge column next to your appointment notice.

5. The appointment notice has now been acknowledged and it has been removed from your main CSU TAE Appointment Notice screen. You're done!

You can still access the appointment notice in the Reprint Old Notice tab.

View, print, or download an old appointment notice

If you don't see an appointment notice on the CSU TAE Appointment Notice tab, you can use these steps to view, print, or download the appointment notice in Reprint Old Notice.

1. Click Reprint Old Notice.

2. Click on the printer icon in the Reprint column next to the appointment notice that you want to view or download.

3. Your appointment notice will open as a PDF in a new window/tab. Use the built-in Adobe Reader options to either print or download the PDF.

Hi there,
I clicked in the box to accept the offer, but the x sign appeared and disappeared.
What was going on? I am not sure if my acceptance was acknowledged.

Hi Thi! As mentioned in the red text box at the start of the "Acknowledge an appointment notice" section, the appointment will drop off from your screen after you acknowledge it, so you will not be able to view on the CSU TAE Appointment Notice tab. To view, print, or download an old appointment notice that you have already acknowledged, click on the Reprint Old Notice tab.

If you do not see the acknowledged notice in the Reprint Old Notice tab, you can contact the Helpdesk for assistance at 657-278-7777 or [email protected].

I followed instructions but when I click "acknowledge" it automatically unclicks. So all I can do is view the appointment. There are no actions on my end that allow me to ensure the appointment has been accepted and finalized.

Hi Dr. Beenen! This page is for temporary academic employment (TAE), so it mainly applies to part-time faculty, TAs, GAs, and Instructional Student Assistants. Full-time faculty are not hired through TAE nor do they acknowledge appointments as illustrated in this guide.

If you are expecting part-time faculty employment, please reach out to the department hiring you to verify if the appointment has been processed by the department and by Payroll.

If that's the case, how am I supposed to confirm my appointment? I've been receiving email notices indicating the appointment process is going electronic using chrs. My class has already started and I have no appointment letter.

Hi Dr. Hogan! It sounds like you may have acknowledged the appointment. When an appointment is acknowledged, it disappears from the table and goes into the Reprint Old Notice tab. Please check the Reprint Old Notice tab to see if the appointment is in there. If it is not, please reach out to your department and Academic HR Services ([email protected]).

Hi again Dr Beenan! My apologies for the confusion, I wasn't aware that the inquiry was in regard to summer classes. Summer teaching appointments are indeed processed in TAE.

After checking the acknowledgement box, the appointment moves into the Reprint Old Notice tab rather quickly and the data line disappears. If the appointment is viewable in the Reprint Old Notice tab, then it means that it has been successfully acknowledged.

If you are unable to find the letter in the Reprint Old Notice tab, please seek assistance from Academic HR Services ([email protected]). You may also want to let your department know so they can provide support as needed.

Hi again, please read my original posting as you still haven't answered my question. The system doesn't allow me to "check" the acknowledgement box. Once checked, the "check" immediately vanishes. Please confirm that I'm in the system for payroll.

Hello again! I thought I addressed this when I explained that after checking (or perhaps "clicking into" would be a more appropriate way of phrasing it) the box, the line vanishes, including the check. The acknowledgment happens instantaneously once the box is clicked. My assumption is that when you clicked the appointment the first time, you acknowledged it and the appointment moved into the Reprint Old Notice tab as a result of the acknowledgment.

I can confirm that summer appointments are processed in this page, but as the team monitoring this article isn't affiliated with HRDI, we don't have the ability to speak on the matter specifically or verify whether or not the acknowledgment went through. We can only give general instruction based on how the system is supposed to work. Academic HR should be able to provide personalized insight into the issue and advise accordingly.

What is the deadline for Acknowledgment? I am teaching Summer Session B starting July 1. My enrollment-based compensation will not be determined until July 10. I certainly would be reluctant to sign a contract without knowing my compensation.

Hi Dr. Canin! Acknowledging the appointment notice is optional, so there is no deadline to do so.

Hi Dr. Chen! At this time, the system does not generate confirmation prompts or emails when you've acknowledged your appointment. If you have successfully acknowledged the appointment, the line item will disappear from the table on the CSU TAE Appointment Notice tab. You will be able to see the acknowledged appointment on the Reprint Old Notice tab. If the appointment notice does not appear in the Reprint Old Notice tab, please contact Academic HR for assistance at [email protected]
