PeopleSoft Access Request Form Process

This guide will go over who and what is involved in the process of requesting CMS Human Resources, Campus Solutions (Student Administration), or Finance functionality via PeopleSoft Access Request Forms.

The access request process requires an active job record in PeopleSoft HR. All contractors, temporary employees, Auxiliary workers, or other non-state employees must contact [email protected] to have a profile created in PeopleSoft HR before a form can be generated. 2.1. If approved, the ARF proceeds to the employee review stage.

2.2. If rejected or modifications are requested, an email is sent to the form initiator notifying them to make changes or submit a new ARF.

3.1. If the employee accepts the ARF and acknowledges the Access and Compliance Form, the form is routed to the next step in the workflow.

3.2. If rejected or clarification is requested, an email is sent to the MPP.

4.1. Central or Campus Solutions Roles

Business Analysts in the functional areas review ARF and identify training requirements.

4.2. Distributed Roles

The ARF is sent to IT Training.

5.1. Training checks the Employee Training Center (ETC) to see if all required training has been completed.

5.2. Training assigns any missing requirements in ETC.

5.3. Training opens Service-Now incident to email user with training requirements and access instructions.

5.4. Employee completes training and notifies IT Training. The ARF is marked as complete and the Service-Now incident is resolved.

5.5. If the employee does not complete required training within the given time frame, the ARF is marked as cancelled/expired.

IT Training will email the employee one week before the ARF is set to expire. An employee can request an extension by emailing [email protected].

6.1. CMS Security grants approved access to employee.

6.2. Employee receives an email notifying them that their ARF is complete. The email includes a PDF copy of the approved ARF.

It may take up to 24 hours from the receipt of the email for requested roles to become available on Titan Online.

6.3. ISO processes ARF and marks as complete.
