Access Request Forms in My Workplace

This article covers the processes of manager approval, employee review, and initiator re-submission for CMS PeopleSoft Access Request Forms that are still in the My Workplace workflow.

Please note that though there may still be some forms in My Workplace, the Access Request Form process has transitioned to Adobe Experience Manager (AEM). To initiate a new Access Request Form, please use the version in AEM.

How Does a Manager Approve a PeopleSoft Access Request Form?

1. The appropriate manager is notified via email when there is an Access Request Form pending their review. Read the email for more details and instructions.

The email will specify the employee requesting access, what functionality is being requested, and includes instructions on how to complete the form.

2. To review the Access Request Form, log in to the campus portal using Microsoft Edge in IE mode or Safari and access My Workplace.

Please note that as of February 2023, Windows PC users will need to use Microsoft Edge with Internet Explorer mode enabled to access My Workplace.

2.1. If you've logged in with Edge in IE mode, a Browser Support message will appear.

Select the link in the message that says "Click here to access My Workplace."

2.2. If you've logged in with Safari, click on My Workplace in the Titan Online widget or click on the cube icon and select My Workplace.

  1. In the Titan Online widget, click My Workplace.
  2. Or click on the Quick Shortcut Titan Online Apps cube icon.
  3. Then click on My Workplace.

3. In My Workplace, click on My Work and then select the Access Request Form to be reviewed.

  1. Click the My Work hyperlink in the My Workplace navigation panel.
  2. Click the title of the form that is pending review.

4. Review the form fields for accuracy and appropriateness of request.

4.1. Click the Go to Security Page button to redirect you to the appropriate security tab.

There are multiple tabs on the Campus Solutions form but only one security tab can be filled out. Clicking the Go to Security Page button will ensure you are taken to the appropriate page.

4.2. Review the checklist of roles and department fields to verify that what's being asked for is relevant to the employee's work functions.

5. View the Initiator of the form and any comments they have entered.

5.1. View any comments in the comment field. Then, click the Go to Signatures Page button to confirm the Initiator.

5.2. The employee who initiated the form will be listed on the Signatures Page.

6. Use the Responses drop-down menu to Approve or Reject the form.

6.1. If Reject is selected, a message will pop up. Click OK to confirm rejection or Cancel to go back and make another selection.

7. OPTIONAL: Enter any comments in the Comment field.

If you Reject the form, it’s recommended to enter a comment as to why so the Initiator can make corrections.

Type any comments into the Comment box underneath the drop-down menu or leave blank if none are needed.

8. Click Complete.

Once the form is completed and access granted, the manager will be notified via email. If the request is rejected, it will return to the form Initiator.

How Does an Employee Review a PeopleSoft Access Request Form?

1. The employee will receive an automated email from CMS Security when there is a PeopleSoft Access Request Form for review. Read the email for more details and instructions.

This email notifies the employee that an access request form is awaiting their approval and also contains instructions on how to open the form.

  1. Click Student Portal to access the student portal login.
  2. Click Faculty & Staff to access the faculty/staff portal login.

2.1. If you've logged in with Edge in IE mode, a Browser Support message will appear.

  3. Then click on My Workplace.

3. Select My Work to view any pending Access Request Forms. Then click on the form you wish to electronically sign.

4. Review the form fields for accuracy.

4.1. Click the Go to Security Page button to redirect you to the appropriate security tab.

4.2. Review the checklist of roles and department fields to verify that what's being requested is relevant to your work functions.

5. After reviewing the form fields for accuracy, click on Go to Signatures Page.

6. View the Access and Compliance Form and then check the box to certify that you have read it and electronically sign the form.

A. Click on the Access and Compliance Form box to review the agreement.
B. Check the statement certifying that you have read, understood, and agree to follow the Access and Compliance policies. By checking this, your name and the date will autopopulate.

7. Use the Responses drop-down menu to Accept or Reject the form.

Select the appropriate option from the drop-down menu at the top of the Signatures page.

If the request is rejected, it will return to the appropriate administrator.

8. OPTIONAL: Enter any comments in the Comment field.

If you Reject the form, it’s recommended to enter a comment as to why so your Appropriate Administrator can make corrections.

9. Click Complete to submit the Access Request Form.

Click the Complete link. The Access Request Form will be removed from the list of pending work items and routed to the next stage of processing.

The Access Request form cannot be edited after this step. Please contact CMS Security at [email protected] for assistance if you submitted a completed form in error.

How Does an Initiator Resubmit an Access Request Form After It is Rejected?

1. The initiator is notified via email when an Access Request Form has been rejected. Read the email for more details and instructions.

This email will specify which Access Request Form has been rejected and by whom. The email also contains instructions on how to open the form.

2. To review the Access Request Form, log in to the campus portal using Microsoft Edge in IE mode or Safari and access My Workplace.

2.1. If you've logged in with Edge in IE mode, a Browser Support message will appear.

3. In My Workplace, click on My Work and then select the Access Request Form to be resubmitted.

Select the rejected Access Request Form from the list.

4. Review any comments left by the manager to determine how to proceed.

On Campus Solutions ARFs, comments can be viewed on the Employee Information page.

Based on the comments, you can determine what needs to be changed and whether to resubmit the form or delete and start over.

5. From the drop-down menu, select whether to Reprocess or Delete.

If the initiator chooses Reprocess, they will be taken back to the original form to make changes.

If the initiator chooses Delete, the entire form will be deleted and they will have to submit a new form.

6. If you choose to Reprocess the form, you can now make the requested changes to the form and click Launch to submit the modified form.

7. Click the Complete button.

Click on Complete to resubmit or delete the form.
