Viewing the Status of Your ARF / AEM Form (Where is My Form?)

This article goes over how users can view the status of AEM forms that they initiated by using the Where is My Form function in Adobe Experience Manager (AEM).

Where is My Form will show you Information on forms that are still active in the workflow. If a form has been completed, it will not show up in this report.

Do not use Internet Explorer.

1. Log in to the campus portal and access Adobe Experience Manager (AEM).

  1. Enter "adobe" in the portal search box.
  2. To create a new form, click Adobe Experience Manager (AEM) Forms Portal.
  3. To view forms that require your review/approval, click Adobe Experience Manager (AEM) Workflow Inbox.

2. Enter your campus username and password. Then click Sign In.

  1. Enter your campus username and password. This is the same information you use to log on to the campus portal.
  2. Then click Sign In.

3. Select Where is My Form.

4. View the status of the forms that you initiated.

The information presented below shows only PeopleSoft Access Request Forms, but this report will show you all AEM Forms that you have initiated (e.g. Pre-Performance Staff Evaluation, Telecommuting Agreement, etc.)

Click on the table headers to sort entries. Sorting by Model will group together forms of a similar type.

Where is My Form screen
  1. Use the search bar to narrow down results to a specific user.
  2. View the user's name.
  3. View the date and time that the ARF was initiated.
  4. View the type of form initiated for the user (i.e. Campus Solutions, Finance, Finance Delegation of Authority, or Human Resources ARF).
  5. View the individual or the group that the form is currently assigned to.
  6. View the workflow step that the form is currently in.
  7. Use the drop-down menu to select how many lines to view on one page.
  8. Use the numbers to navigate between the pages.

Task Title Definitions for ARFs


Title Applies to Definition Who to Contact
Budget Contact Review Finance ARFs The form is being reviewed by the division's budget contact (usually the division finance coordinator). Only ARFs requesting Position Budgeting & Planning Reports and Budget Management Reports will be routed to the budget contact. The division budget contact (their username is listed as the Assignee.)
Budget Office Review Finance ARFs and Finance DOA ARFs
The form is being reviewed by Resource Planning and Budget. All Finance DOA ARFs are routed to the budget contact. Only Finance ARFs requesting Position Budgeting & Planning Reports and Budget Management Reports will be routed to the budget office.

Business Analyst Review CS, HR, and Finance ARFs The form is being reviewed by a business analyst in the functional area of the roles being requested. All CS and Finance DOA ARFs are reviewed by a business analyst. HR and Finance ARFs will be routed to a business analyst if central roles are requested. For DOA ARFs, the business analyst is typically who grants the access.

CISO Review CS, HR, and Finance ARFs
The form is waiting for the Chief Information Security Officer to sign the ARF. Access has already been granted to the employee.

Employee Review All ARFs
The form is waiting for the Employee to sign off on the ARF.
The employee listed on the ARF (their username is listed as the Assignee.)
Fiscal Manager Review Finance DOA ARFs The form is being reviewed by the division's budget contact (usually the division finance coordinator).
The division budget contact (their username is listed as the Assignee.)
HRDI Review HR ARFs The form is being reviewed by functional areas in HRDI. HR ARF Reviewers: [email protected]
ISO Admin Review CS, HR, and Finance ARFs
The ARF is being finalized by the ISO (Information Security Office). Typically, this means CMS Security has already assigned the access.

Manager Review All ARFs
The form is waiting for the Manager/Appropriate Administrator to approve/reject the ARF. The Appropriate Administrator listed on the ARF (their username is listed as the Assignee.)
Requestor Review All ARFs The form was rejected and returned to the Requestor/Initiator to make changes or delete the request. The initiator who submitted the ARF  (their username is listed as the Assignee.)
Security Admin Review CS, HR, and Finance ARFs
The form is in CMS Security's queue for access to be granted. CMS Security: [email protected] 
Trainer Review CS, HR, and Finance ARFs
The form is in IT Training's queue for training to be assigned or waiting for the user to complete training requirements.  IT Training: [email protected]
