Request Instructor Changes (Extended Education)

This guide provides an overview of how authorized Coursedog Schedulers can submit requests for instructor changes for Extended Education classes.

These instructions are applicable to:

  • Winter Session & Summer Session instructor assignments & changes.
  • Self-support Fall/Spring instructor assignments & changes.

1. Accessing Coursedog and the Scheduling module.

2. Select Requests under the Scheduling Management menu on the left.

3. On the Requests page, click Create Request

4. A New Request pop-up window opens. Select Section Change from the drop-down menu.

  1. Click the caret to open the drop-down menu.
  2. Select Section Change.

5. Click Create Request

6. A new page New Request>>Section Change will open. Select the appropriate term and choose Edit Section as the Type of change.

  1. Select the appropriate term.
  2. Select Edit Section in the Type of change drop-down menu.

7. In the Select a course field, type in the course name to search for it and select the appropriate course from the drop-down menu.

  1. Type in the course name (no spaces).
  2. Select the appropriate course from the search results.

Make sure you are selecting the correct career for the course (e.g. Extended Education). Learn more about Career in the Coursedog Scheduling Glossary.

8. Select the appropriate section in the Which section? drop-down menu.

9. Provide the reason for the change request in the Reason for request field.

10. Under the Are you trying to change the meeting days and times question, Select NO.

11. Under Are you only changing these fields question, select Extended Ed - Instructor Change Only from the drop-down menu.

  1. Click the caret to open the drop-down menu.
  2. Select Extended Ed - Instructor Change Only.

If Fast Track is chosen, the Request will be sent back to the Requester to be re-sent through the proper workflow.

If other edits are being made in addition to the Instructor Change, select the Schedule Change Form option.

13. A pop-up window opens with a list of instructors from the department offering the course. Click on the instructor's name to select them.

14. Click Set Instructor Roles and Details.

15. On the Set Instructor Roles and Details pop-up window, click on the instructor's name to open up the details.

16. Select the appropriate options for the instructor's role, meeting pattern, print options and grade roster access.

  1. Select the instructor's role (Primary Instructor, Secondary Instructor, Teaching Assistant).
  2. Select the meeting pattern from the drop-down menu.
  3. Optional: Select a Print option to make instructor's name visible (YES) or not visible (NO) to the public.
  4. Optional: Select a Grade Roster Access (Approve, Grade, or Post).
  5. Click CLOSE to save your selections and return to the request page.

17. Go back to the top of the Request Form and click Submit Request

18. Once the request is submitted, you will see a confirmation page. The course information is listed on the left panel, and the status of the request is shown on the right panel (Request Toolbox).

  1. In the Request Toolbox, you can view the progress and current status of the submitted request.
  2. Optional: In the Request Tool Box, you can click on Edit Request to make changes to the request before it is approved in the next step.
